Privacy Policy

Our Privacy Policy was last updated on 20/08/2025.

Flowmata (“we,” “our,” “us”) provides the Flowmata Google Workspace Add-on (“the App”), which enables users to generate AI-created content (images, audio, video, text) directly into their Google Drive and to ask questions about the content of their files.

Your privacy and data protection are our highest priorities. This Privacy Policy explains how we access, use, store, and protect your information when you use our App and related services.

If you have any questions, please contact us at info@flowmata.com.

1. Consent

By using the Flowmata Google Workspace Add-on, you consent to this Privacy Policy and agree to its terms.

2. Information We Collect

Google User Data

When you authorize our App, we may request access to the following Google data via OAuth:

  • Google Drive file metadata (e.g., file names, MIME types, IDs) to allow you to select and organize files.
  • Google Drive file content (only when you explicitly select a file for AI processing). This is required so the App can analyze your documents and answer your questions.
  • User account information (basic profile data such as name and email) to personalize your experience and identify your account.

Other Information

Technical information such as IP address, browser type, and log files may be collected when you visit our website (https://www.flowmata.com) for analytics and security purposes.
When contacting us, we may collect your name, email, and the contents of your message.

3. How We Use Your Information

We use your data only to:

  • Provide the App’s core functionality: generating AI content into your Google Drive and answering questions about your Drive files.
  • Improve and maintain the App.
  • Communicate with you about service updates and support.
  • Ensure security, prevent abuse, and comply with legal obligations.

We do not:

  • Sell Google user data to third parties.
  • Use Google user data for targeted advertising, profiling, or reselling.
  • Transfer Google user data to third parties except as necessary to operate the service (see Section 4).

4. Data Sharing and Disclosure

We do not share or disclose your information except in the following cases:

  • Service providers: We may use secure third-party processors (e.g., cloud hosting, AI model APIs) strictly to perform services on our behalf. These providers may temporarily process your data but cannot use it for their own purposes.
  • Legal compliance: We may disclose information if required to comply with laws, regulations, or valid legal requests.

5. Data Security

We implement industry-standard safeguards to protect your data, including:

  • Encryption of data in transit (HTTPS/TLS).
  • Restricted access controls to Google user data.
  • Secure infrastructure and monitoring.

6. Data Retention and Deletion

Google Drive files and their content are processed ephemerally — we do not permanently store your files after processing.

Metadata (such as job requests, timestamps, and logs) may be retained to provide history features and improve service.

You may request deletion of your account data at any time by contacting info@flowmata.com.

We automatically delete or anonymize data when it is no longer necessary for the purposes described.

7. Cookies and Tracking (Website Only)

Our website uses cookies for analytics and user experience. You can disable cookies in your browser settings. The App itself does not use cookies.

8. User Rights

Depending on your jurisdiction (GDPR, CCPA, etc.), you may have rights including:

  • Accessing your personal data.
  • Requesting correction or deletion.
  • Restricting or objecting to processing.
  • Data portability.

Requests can be made to info@flowmata.com.

9. Children’s Privacy

The App is not directed at children under 13. We do not knowingly collect data from children. If you believe a child has provided us with personal data, please contact us.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Updates will be posted at https://info.flowmata.com/privacy-policy/ with the effective date. If changes affect how we use Google user data, we will notify users before applying the changes.
